Job Summary

The Events Lead plays a critical role in supporting the Director of Events in the planning, execution, and evaluation of various events, including corporate functions, conferences, trade shows, and social gatherings. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously. The Events Lead will collaborate with cross-functional teams, vendors, and clients to ensure seamless event execution and a positive attendee experience.

Duties and Responsibilities

Event Planning and Coordination:

  • Assist the Director of Events in the development and execution of event plans, timelines, and budgets.

  • Coordinate event logistics, including venue selection, catering, transportation, and accommodations.

  • Manage vendor relationships, negotiate contracts, and ensure timely delivery of services.

  • Oversee the registration process, including attendee communication and database management.

On-site Event Management:

  • Serve as the primary point of contact for event staff, vendors, and attendees during events.

  • Coordinate on-site setup, including staging, audiovisual equipment, signage, and décor.

  • Manage event flow, ensuring that all activities adhere to the schedule and resolve any issues that arise.

  • Provide leadership to event support staff, volunteers, and temporary workers.

Post-event Activities:

  • Conduct post-event evaluations, including attendee feedback, vendor performance, and overall event success.

  • Prepare reports and presentations summarizing event outcomes, including financial performance and ROI analysis.

  • Collaborate with the Director of Events to identify areas for improvement and implement best practices for future events.

Communication and Collaboration:

  • Liaise with internal teams (marketing, sales, operations) to ensure alignment on event objectives and deliverables.

  • Maintain clear and consistent communication with all stakeholders, including clients, vendors, and team members.

  • Assist in the creation of event materials, including invitations, programs, and promotional content.

Budget Management:

  • Assist in developing and managing event budgets, ensuring cost-effectiveness and adherence to financial guidelines.

  • Track expenses, process invoices, and reconcile budgets post-event.

Qualifications

Education: Bachelor’s degree in Event Management, Hospitality, Marketing, or a related

field is preferred.

Experience:

  • 3+ years of experience in event planning or event management.

  • Proven track record of successfully managing and executing large-scale events.

Skills:

  • Strong project management and organizational skills.

  • Excellent communication and interpersonal skills.

  • Ability to work under pressure and manage multiple tasks simultaneously.

  • Proficiency in event management software and tools (e.g., Basecamp, Stova, Cvent, Eventbrite, Microsoft Office Suite).

Certifications: CMP (Certified Meeting Professional) or equivalent certification is a plus.

Availability: Willingness to work evenings, weekends, and travel as needed.
